How to Compare Destination Wedding Venue Quotes Fairly
A line-by-line way to compare Indian destination wedding venue proposals without confusing per-plate prices, room rates and complete wedding costs.
Property details and time-sensitive planning information should always be reconfirmed. Read our editorial standards.
Use the same dates, guests, rooms and functions for every quote. Compare the total payable amount and what it includes—not just a per-plate or room rate. Put taxes, minimum spends, mandatory suppliers, payment timing and cancellation terms side by side.

Give every venue the same assumptions
One quote for 150 guests over one night is not comparable with another for 200 guests over two nights. Fix the wedding dates, room nights, room mix, meal counts and function schedule first. If a venue cannot meet that brief, record the difference rather than silently adjusting the comparison.
Separate the cost lines
List rooms, food, event-space rental, minimum spend, beverages, service charges, taxes and compulsory vendor fees separately. Ask whether the per-plate rate changes by function, menu or guest-count band. Note what is excluded, even when another venue includes it.
- Room rate and number of chargeable nights
- Meals included in the room plan versus event catering
- Venue hire or minimum food-and-beverage spend
- Taxes and service charges on each line
- Extra-person, overtime and extension charges
Compare the risk as well as the price
A lower headline total can carry a higher advance or stricter cancellation terms. Record deposit amount, payment due dates, room-release deadline, guest-count adjustment window and what happens if an outdoor event moves indoors. Ask the venue to identify any non-refundable amount clearly.
Confirm the final version before booking
Request the venue's current proposal on its letterhead or official email with dates, spaces, room categories and inclusions. Keep the version you approve and ask how later changes will be priced. A comparison spreadsheet is useful only when it reflects the terms the venue will actually honour.
Frequently asked questions
Is the cheapest per-plate venue the cheapest overall?
Not necessarily. Rooms, event-space fees, minimum spend, mandatory suppliers, taxes and service charges can outweigh a lower meal rate. Compare the complete written total under identical assumptions.
How many quotes should we compare?
Compare a manageable shortlist of venues that genuinely meet your dates, guest capacity and room needs. More quotes are not useful if their assumptions or event formats are different.
